How TenderQualify collects and uses personal data for snapshots, pilots, billing and support.

Controller and contact

TenderQualify is operated by Aigenize in Belgium. For privacy requests, contact info@aigenize.com.

If you are acting for a company, we process your business contact details and tender preferences to handle your request and deliver the service.

Data we collect

  • Identity and contact data: name, work email, company and website.
  • Billing data: VAT number, billing address, Stripe customer/session identifiers and payment status.
  • Tender profile data: focus areas, regions, languages, deadline window, exclusions and qualification notes.
  • Usage data: language preference, pages visited, technical logs and security events.
  • Feedback data: snapshot ratings, replies and support messages.

Purposes and legal bases

  • Free snapshot requests and pre-contract steps: to respond to your request and prepare sample fit cards.
  • Paid pilot delivery: to perform the service contract and manage customer support.
  • Billing, tax and accounting: to comply with legal obligations.
  • Product quality, security and abuse prevention: legitimate interests in operating a reliable B2B service.
  • Optional analytics or marketing cookies: consent, where those tools are enabled.

Processors and recipients

We use processors for hosting, database operations, payment, email delivery and fit-card preparation. The current list is maintained on the Subprocessors page.

We do not sell customer contact data. We may disclose data when required by law, to protect the service, or to handle billing and support.

Retention

  • Snapshot leads and feedback are normally kept for up to 18 months unless you become a customer or ask for earlier deletion.
  • Tender profiles and support records are kept while the service is active and for up to 24 months afterwards.
  • Billing, invoice and tax records are retained as required by Belgian accounting and tax rules, normally up to 7 years.
  • Security logs are kept only as long as needed for operations, investigation and compliance.

Your rights

You can request access, correction, deletion, restriction, portability or objection where GDPR allows. You can withdraw consent for optional processing at any time.

You may lodge a complaint with the Belgian Data Protection Authority if you believe your data protection rights were not respected.

Automated processing

TenderQualify may use automated triage and AI-assisted drafting to prepare fit cards. These outputs support review and customer decision-making; they do not create legal effects about you.
